How to optimize outbound call handling? We have the answer, follow us!
The life of sales is hard, always on the phone and on the go. A job as compelling as it is frustrating if you are not properly prepared.
There are in fact many activities that sales people repeat on a daily basis especially if they work with cold leads, that is, those contacts that they have to qualify in order to understand whether they are interested in goods and services that the company offers.
Making outbound calls efficient is not an easy task, but the Aircall Phone System Power Dialer allows you to save 2 minutes or more per call, simplifying and automating each new call and/or follow up.
Naturally you can set every detail such as wait time between calls, to take notes for example or add tags to the call. Aircall integrates with Salesforce or HubSpot to centralize all key data in your CRM, not to mention that you can record calls, transfer them to other team members if necessary, leave comments.
Today we explain how to minimize manual tasks. Stop typing numbers on the keyboard of your cell phone or physical device on your desk and don't think you'll do better by copying or pasting phone numbers you want to contact.
Here's how to make a difference.
Power Dialer: what is it?
What is Power Dialer? It is a feature of the VoIp PBX (no hardware needed, just internet connection and telephone headsets) Aircall that allows you to automatically dial phone numbers in sequence to make your agents' work easier.
Of course, you can set a time when you will be unavailable between calls and shortcut keys such as "Enter" to answer or "Esc "to decline or hang up.
Evading a list of numbers to call without interruption is quick and easy and allows you to optimize time to focus on each conversation.
The call list is easily accessible and can be updated or started at any time.
How do you use the Power Dialer Aircall?
The Power Dialer feature is currently available in the Aircall Professional plan, and is supported in the Aircall App for mobile devices, through integrations on your computer and also through the Chrome extension (make sure you have the latest version installed).
How to add numbers to the Power Dialer list?
Let's go in order. Let's start by adding the phone numbers you're interested in to a list that we'll then upload to Aircall.
There are several ways to integrate phone numbers into a Power Dialer list:
- copy and paste numbers
- add numbers via the Aircall extension in your browser.
- If it was previously available only for Chrome now also for Microsoft Edge.
Import numbers via a CSV file
If you want to import the numbers via a CSV file remember that:
- file size is limited to 1 MB or 1,000 contacts
- numbers must be in the E.164 format, meaning the country code and subscriber number without spaces will be added to the + to help ensure call deliverability
- the first column of the Sheet containing the numbers should have a "title"
- you can download a template by clicking on "Download Template" in the Import Numbers view.
You can then import the csv file into Power Dialer:
- click "Select a list" in the Power Dialer menu of the To-do view
- drag and drop the CSV file with the expected number format or select it from the computer's internal documents
- Use a template by clicking "Download Template" or create your own .csv file
- Your list has been successfully imported, you can start working.
Manually copy and paste numbers into Power Dialer
If you want to copy and paste numbers manually remember that:
- lists are limited to 1,000 contacts
- numbers must be in E.164 format
- the separator between values must be a comma or semicolon
Follow these steps:
- click Create List in the Power Dialer menu in the To-do view
- so the Manually Insert button
- copy and paste the numbers in the format provided or enter them manually
- click Add Numbers
- your list has been successfully added!
Adding numbers with Aircall extension in your browser
While the Aircall browser extension was previously available only for Google Chrome, you can now launch Aircall's Click-to-Dial and Power Dialer features in Microsoft Edge as well.
When you activate the Aircall extension in your browser it automatically detects all the phone numbers in the web pages you visit and you can add them to your dialing list.
From the To-Do view as always you can see the number of numbers imported and click on the Start session button. If the numbers are already known in the system, you will see some contact details such as full name, Company name and Contact Notes. Otherwise, only the number will be displayed.
From this view you can edit the list if necessary: you can delete numbers one at a time or even the whole list with the Archive List button. Add more numbers by importing the new CSV file or enter new numbers manually.
Numbers added from web pages with the Chrome extension will also be integrated into this list.
Errors and duplicates
Invalid numeric formats and duplicates are automatically rejected. If such a problem occurs, you will receive a relevant summary and can download the errors:
- the numbers XX/XX were imported correctly
- X errors and X duplicates are detected.
If none of these errors seem relevant to you, you can skip this step and go to "Skip and go to composition" or go to "Back to import" to add more numbers.
Outbound call management, here's how to do it
Now it is time to start. Click on Start Session from the To-Do view or the list details to begin calls.
Select the phone line you wish to use for this outgoing calling session. This setting will be applied to all numbers and cannot be changed during a session.
Once the session starts, calls will be presented to you automatically respecting the order of the list.
During the session you can handle a specific call:
- jump to the next and move to the next number in the queue
- display the information linked to your CRM in the called view
- takes or comments during the call.
Or manage the whole session:
- deletes one or more numbers in the sequence, except for the current call
- deletes the entire sequence by archiving the list
- pause the session in the upper right corner to temporarily stop the call sequence
- add a specific contact to the follow-up list.
This will allow you to add tags, notes, or perform any necessary tasks after each call. Once the pause/wrap-up has expired, Power Dialer will automatically start dialing the next number in the list.
