Sharing calendar availabilities in a Gmail email

The efficient time management is very important, so we want to remind you of a simple, yet effective method to share in a few clicks, in a Gmail email, the availability synchronized with your Google Calendar

This feature allows you to turn emails into business opportunities, simplifying the process of scheduling appointments with colleagues, but also with suppliers, prospects or customers.

How to share Google Calendar availability in a Gmail email

If you use Google Workspace, sharing your availabilities is super easy.

Here's how to do it:

  • sign in to Gmail, create a new email or reply to an existing message
  • at the bottom of the email, click on "Set a time for meeting". If you do not see this option, click on "Other options"

  • to the right, in the Google Calendar, select the event duration
  • choose the times when you are available in your calendar grid. You can select time slots for even multiple days, offering flexibility to your recipient

  • click on "Next" and add a title to the event
  • if you prefer, add more information such as description, location, links to documents or meeting agenda
  • click on "Add to email" and "Send".

The recipient will receive the email with your availability. When he or she selects one, the event will automatically be created and added to his or her calendar as well as yours. 

Both of you will receive a confirmation email with event details and a reminder, if you have activated them.

If you use this feature, please note that 

  • is only available for 1:1 meetings (you cannot add team availability);
  • the proposed times are in your time zone, but automatically adjust to the recipient's time zone;
  • booked times can only be scheduled in your main calendar;
