Today we want to tell you about a G Suite App useful for all Companies, Drive. At power2Cloud we use it daily, just like our Customers. By switching to Google G Suite you could do the same. If you use other document editors or storage services we can take care of data migration.
If your team is spread across multiple locations, in different cities or countries, you will need collaboration tools to interact simultaneously. The best results are reaped when you work as a team and decisions are made quickly. Don't forget that people are dynamic and expect as much from their devices!
Let's go in order and see together what features Drive offers specifically with Google Documents:
- you can access, create, and edit your Documents wherever you are and from any device (mobile, tablet, computer), even without a connection (changes will update once you come back online). Your office will always be with you! Just enter your credentials to access your files. Does that seem like a small thing?
- you can work simultaneously on the same Document together with your colleagues. What you write will be displayed simultaneously (the cursor will specify the name of the User to whom the text is linked). Think how useful this can be in writing shared projects. The comparison is direct and will allow you to optimize time, and you know when you're working, time is money, especially in view of some deadline!
- you can share your Document with one click without attaching it to an email. The version available will always be up-to-date and you will no longer be forced into a roundup of unnecessary communications. You will simply add the address of the User you wish to include by selecting Share in the upper right-hand corner. Clearly you can exclude a User at any time. If you have sharing needs outside the Company you can make your Document a link (from the Administration Console you can set restrictions give to all Users):
- you can comment on it. An Add a Comment icon will appear to the right of your Document. By quoting a User (@ plus email address) you will be able to highlight the period, concept or point in the text that should be supplemented, corrected or revised by getting their attention
- you can use the Calendar integrated to Documents (you view it in the icon to your left) as a reminder for tasks to be completed, reviewed, and delivered
- you can save the file in different formats. Under File you can select Download as and choose the format you need: docx, pdf, epub, text, and so on
- you can access the Document change history and restore the version you need. You will see the changes sorted chronologically, based on the user who made them (click on File, then on Version History and select View Version History)
- You can choose from predefined templates. They are divided by headings with many subcategories: Work, Personal, Letters, Curriculum, Education. You will just have to customize the text
- you can access text revisions. By highlighting a word and right-clicking on Explore you will see (to the right of the Document) the result to be searched in Cloud, Web or Images and with Define detailed entry directly from the dictionary (at the moment it only gives results for words searched in the singular)
- you can format text and paragraphs according to your needs by inserting links, tables, graphs, images(with the possibility to edit them), choosing from many free fonts to make your content more appealing
- you can use dictation(function in multiple languages). By clicking in Tools the Voice Typing item, you can use voice dictation to make it easier to write your texts
- you can view the Document structure with main headings by choosing Show Document Structure in Documents. This will make navigation easier, especially if your text is very structured
- All Google Drive Apps are fully compatible with the major Document Editors on the market such as Microsoft Office. It means you can import a WORD document by simply dragging and dropping it into Drive, edit it with Drive's Documents App and re-export it in the format you prefer you can implement new features as needed, you just have to choose which one, for that we can help you.
